REFUND POLICY

  1. Introduction

This Refund Policy outlines the conditions under which students, members, or institutional partners may request refunds for fees paid to CIBA. It complements the Pricing and Payment Policy and seeks to uphold transparency, fairness, and financial discipline.

 

General Policy
  • CIBA maintains a No Refund Policy for payments made after official registration deadlines.
  • Refunds are not applicable to annual subscription fees, CPD payments, administrative charges (e.g., transcripts, certificates), or discounted group enrolments.
  • Tuition fees paid to third-party tuition providers or CIBA-approved learning centres are governed by their own refund policies. CIBA shall only process tuition refunds for fees it collects directly.
  • Refunds of approved payments may be subject to a GHS 50 processing charge, unless the refund is due to an error by CIBA.
  • No refunds are available for digital materials or downloadable resources once accessed.
  • A 75% refund of exam fees may be granted to students who officially withdraw in writing before the published exam registration deadline.

Refunds may be considered under the following special circumstances, subject to formal application and review by management:

Note: All refund applications must be submitted within 14 days of the event triggering the request.

    • All refund requests must be made in writing to policy@cibagh.org, with supporting documents attached.
    • Approved refunds will be processed within 30 working days.
    • Refunds will be made through the original payment channel unless otherwise approved.
  • Group discounts are based on batch registration. If a group member withdraws and causes the batch size to fall below the discount threshold, the group will forfeit the discount, and no refund will be granted for the withdrawn candidate.
  • Substitutions may be allowed under special circumstances (e.g., within 5 working days of registration close).
  • CPD or seminar cancellations made by participants at least 10 days before the event may receive a 50% refund.
  • No refund is applicable for no-shows or late cancellations unless in cases of medical emergencies with documentation.
  • If CIBA cancels a CPD event, a full refund or rollover to the next session will be offered.
  • Applicants whose refund requests are denied may appeal in writing to the Executive Secretary, who will refer the matter to the Refund Review Panel.
  • Final decisions will be communicated within 15 working days.
This Refund Policy is subject to review and amendment annually or as determined necessary by the Governing Board.
